1. Who we are
This website, simplyintense.com (the "Site"), is operated by Simply Intense Media Caribbean Limited ("Simply Intense", "we", "us", "our"), a company founded in 2004 and registered in Trinidad and Tobago.
- Address: Level 2, Invaders Bay Tower, Port of Spain, Trinidad and Tobago
- Phone: +1-868-499-1947
- Email: info@simplyintense.com
We serve clients in Trinidad and Tobago, Barbados and the wider Caribbean. For the personal information described in this policy, we are the organisation responsible for deciding how it is used (the "data controller").
This policy explains, in plain English, what personal information we collect through the Site, why we collect it, who we share it with, how long we keep it, and the choices and rights you have.
It covers the Site only. If you become a client, the way we handle your organisation's data during an engagement is set out in your contract and any data processing terms we agree with you.
2. The laws we follow
We aim to handle personal information in line with:
- Trinidad and Tobago: the Data Protection Act, 2011. Only some parts of this Act have been brought into force so far. The parts that would directly regulate private-sector organisations are not yet in force. Even so, we choose to follow the Act's General Privacy Principles: accountability, being clear about why we collect information, consent where appropriate, collecting only what we need, limits on use, disclosure and retention, accuracy, appropriate safeguards, openness, giving people access to their information, and letting people challenge how we handle it.
- Barbados: the Data Protection Act, 2019, where it applies to personal information about people in Barbados.
- The EU General Data Protection Regulation (GDPR) and the UK GDPR, where they apply. Generally that is when we offer our services to people in the European Union or United Kingdom, or monitor their behaviour on the Site, for example through analytics.
Where these laws give you more protection than this policy describes, the law takes priority.
3. What we collect
3.1 Information you give us
When you fill in a form on the Site, for example a contact form, a guide download form, or an SI Sprint enquiry or call-booking form, we collect what you enter. Depending on the form, that may include:
- Contact details: your name, work email address and, if you choose to give it, a phone or WhatsApp number.
- Work details: your company name, your role, your territory, and your team size.
- Your message and enquiry details: what you tell us about your business, the workflow or problem you want help with, tools and channels you use now, your timeline, preferred call times, and who else might attend a call.
Please don't include sensitive personal information (such as health, financial account or government ID details) in free-text fields. If you name colleagues who may attend a call, please only share their details if they are happy for you to do so.
If you email or call us directly, we keep a record of that communication and your contact details.
3.2 Information collected automatically when you submit a form
When you submit a form, we also record:
- the page you submitted it from and the referring page (the page that sent you to us);
- campaign source information, such as UTM parameters (for example utm_source, utm_medium and utm_campaign) attached to the link you used to reach us;
- your IP address and your browser's user-agent (a short description of your browser and device type);
- the date and time of submission.
We use this to understand which of our campaigns and channels bring enquiries, and to help prevent spam and abuse.
3.3 Spam protection (Cloudflare Turnstile)
Our forms use Cloudflare Turnstile, a service from Cloudflare, Inc. that checks whether a form is being submitted by a person rather than an automated bot. To do this, Turnstile processes information such as your IP address and technical details about your browser and device, and may run brief background checks in your browser. Cloudflare states that it uses this information to provide and improve the service and not for advertising. See Cloudflare's privacy policy at https://www.cloudflare.com/privacypolicy/.
3.4 Analytics, advertising tags and cookies
We use Google Tag Manager to manage the following tools on the Site. These tools may set cookies or use similar technologies (such as pixels and local storage) and collect information such as your IP address, device and browser type, pages viewed, time on page, how you arrived at the Site, and actions you take (for example submitting a form).
| Tool | Provider | What we use it for |
|---|---|---|
| Google Tag Manager | Google LLC / Google Ireland Ltd | Loads and manages the other tags on the Site. It does not itself build a profile of you, but it may log technical data needed to load tags. |
| Google Analytics | Google LLC / Google Ireland Ltd | Measures how visitors use the Site (pages visited, traffic sources, form submissions) so we can improve it. |
| Meta Pixel | Meta Platforms, Inc. / Meta Platforms Ireland Ltd | Measures the results of our Facebook and Instagram ads, and lets us show relevant ads to people who have visited the Site (retargeting) or who are similar to our visitors. |
| LinkedIn Insight Tag | LinkedIn Corporation / LinkedIn Ireland Unlimited Company | Measures the results of our LinkedIn ads, gives us aggregated insights about visitors (such as job function and industry), and enables retargeting on LinkedIn. |
These providers may combine information from the Site with information they already hold about you, for example if you are logged in to a Google, Facebook, Instagram or LinkedIn account. That use is governed by their own privacy policies:
- Google: https://policies.google.com/privacy (and how Google uses data from sites that use its services: https://policies.google.com/technologies/partner-sites)
- Meta: https://www.facebook.com/privacy/policy/
- LinkedIn: https://www.linkedin.com/legal/privacy-policy
4. Cookies
Cookies are small text files stored on your device by your browser. Similar technologies include pixels, tags and local storage. We group them as follows:
- Strictly necessary: needed for the Site to work securely, for example spam protection on forms. These don't require consent.
- Analytics: help us understand how the Site is used (for example Google Analytics cookies such as
_gaand_ga_*). - Advertising: help us measure and target our ads (for example Meta's
_fbp, and LinkedIn cookies such asli_fat_id,bcookie,lidcandUserMatchHash).
The exact cookies, their names and their lifetimes depend on how each tool is configured and can change when providers update their services.
You can also:
- block or delete cookies in your browser settings (this may affect some features);
- opt out of Google Analytics using Google's browser add-on: https://tools.google.com/dlpage/gaoptout;
- manage Google ad personalisation at https://myadcenter.google.com;
- manage Meta ad preferences in your Facebook or Instagram settings, under "Ad preferences";
- manage LinkedIn advertising preferences at https://www.linkedin.com/psettings/advertising.
5. Why we use your information, and our legal basis
Some laws, including GDPR and the Barbados Data Protection Act, require us to name a "legal basis" for each way we use personal information. Here is how we use it and why:
| What we do | Information used | Legal basis |
|---|---|---|
| Respond to your enquiry, send a guide you requested, and arrange and prepare for calls | Form details, message, contact details | Taking steps at your request before a possible contract; and our legitimate interest in responding to business enquiries |
| Follow up about our services after you have contacted us | Contact and work details | Legitimate interest in developing business relationships. Where the law requires it (for example for some electronic marketing), we rely on your consent. You can opt out at any time. |
| Understand which campaigns and channels bring enquiries | Page URL, referrer, UTM/campaign data | Legitimate interest in measuring and improving our marketing |
| Protect our forms and Site from spam, fraud and abuse | IP address, user-agent, Turnstile signals | Legitimate interest in keeping the Site secure |
| Measure Site usage and improve the Site | Analytics data | Consent where required by law (for example for non-essential cookies); otherwise legitimate interest |
| Measure and target advertising | Meta Pixel and LinkedIn Insight Tag data | Consent where required by law; otherwise legitimate interest |
| Keep records, deal with disputes and meet legal obligations | Any of the above, as needed | Legal obligation and legitimate interest in protecting our legal rights |
Where we rely on legitimate interests, we have weighed our interests against your rights and expectations. You can object at any time (see section 9).
We do not sell your personal information. We do not use the personal information we collect through the Site to make decisions about you based solely on automated processing that have legal or similarly significant effects.
6. Who we share it with
We share personal information only where needed, mainly with service providers who help us run the Site and our business. They may use it only to provide their services to us. These include:
- Website hosting and backend: Supabase (database and server functions that store form submissions).
- Email delivery: Resend (delivers internal notification emails when a form is submitted).
- Spam protection: Cloudflare (Turnstile).
- Analytics and advertising: Google, Meta and LinkedIn, as described in section 3.4. Some of these providers act as independent controllers for some uses of the data.
We may also share information:
- with our professional advisers (such as lawyers and accountants) under confidentiality obligations;
- with authorities, courts or regulators where the law requires it, or to protect our rights, property or safety, or those of others;
- with a buyer or successor if our business, or part of it, is reorganised, sold or merged. They would have to continue protecting your information in line with this policy.
7. International transfers
We are based in Trinidad and Tobago, but many of our service providers are based in, or store data in, other countries, particularly the United States and the European Union. This means your information may be transferred to, stored in, and accessed from countries whose data protection laws differ from those where you live.
When we transfer personal information internationally, we take reasonable steps so that it continues to be protected to a comparable standard. These include choosing reputable providers and relying on their contractual data protection terms, such as data processing agreements and, where GDPR or the Barbados Act requires them, Standard Contractual Clauses or other recognised safeguards. You can contact us for more information about these safeguards.
8. How long we keep it
We keep personal information only for as long as we need it for the purposes in this policy, including to meet legal, accounting or reporting requirements. As a guide:
- Records relating to clients and engagements: for the duration of the relationship and afterwards as needed to meet legal, tax and accounting obligations.
- Analytics data: in line with the retention settings in Google Analytics. Meta and LinkedIn apply their own retention periods.
When information is no longer needed, we delete it or anonymise it so it no longer identifies you.
9. Your rights and choices
Depending on where you live and which law applies, you may have the right to:
- Access: ask whether we hold personal information about you and get a copy.
- Correction: ask us to correct information that is inaccurate or incomplete.
- Deletion: ask us to delete your information, where we no longer have a valid reason to keep it.
- Opt out of marketing: tell us at any time to stop sending you marketing messages. Every marketing email we send will include a way to unsubscribe.
- Object: object to our use of your information based on legitimate interests, including profiling for direct marketing.
- Withdraw consent: where we rely on your consent, withdraw it at any time. This does not affect anything we did before you withdrew it.
- Restriction and portability (under GDPR and the Barbados Act): ask us to limit how we use your information, or to provide it in a structured, commonly used, machine-readable format.
How to make a request: email info@simplyintense.com with the subject line "Privacy request", or write to us at the address in section 1. We may need to confirm your identity before we act. We will respond within the time the applicable law requires. We will not charge a fee unless the law allows one, for example for requests that are clearly unfounded or excessive.
Complaints: if you are unhappy with how we handle your information, please contact us first so we can try to fix it. You may also complain to a data protection authority, for example:
- in Barbados, the Data Protection Commissioner;
- in Trinidad and Tobago, the Office of the Information Commissioner, once the relevant provisions of the Data Protection Act, 2011 are in force;
- in the EU or UK, the supervisory authority where you live or work (in the UK, the Information Commissioner's Office).
10. Security
We use reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, disclosure and alteration. These include encrypted connections (HTTPS) for the Site and forms, spam and bot protection, restricted access to submitted data, and using reputable service providers with their own security programmes.
No website or internet transmission is ever completely secure, so we cannot guarantee absolute security. If we become aware of a breach that affects your personal information, we will notify you and the relevant authorities where the law requires.
11. Children
The Site and our services are aimed at businesses and professionals. They are not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please contact us and we will delete it.
12. Third-party websites
The Site may link to other websites and platforms (for example social media pages). We are not responsible for how those sites handle personal information. Please read their privacy policies.
13. Changes to this policy
We may update this policy from time to time, for example when we add new tools or when the law changes. The "Last updated" date at the top shows when it was last revised. If we make significant changes, we will take reasonable steps to let you know, for example with a notice on the Site.
